Purpose of the Job:
To manage the external and internal examinations in the College and support staff with up-to-date information regarding syllabuses and examination boards.
Draw up / revise College examination procedures to meet requirements of exam boards.
Communicate efficiently and effectively with all exam boards.
Maintain up to date awareness of the requirements of examination bodies in respect of candidate entry and conduct of examinations and communicate this as appropriate.
Provide advice and information on all aspects of the examinations system to teachers, students and parents as appropriate.
Co-ordinate the external examination entries to the exam boards, meeting all deadlines.
Order exam papers in liaison with teaching staff.
Produce the internal and external exam timetable and respond to exam clashes.
Communicate exam timetable to parents, teaching staff, care staff and students as appropriate.
Liaise with teaching staff, students and examination boards regarding special arrangements for students.
Produce invigilation timetables.
Lead the process for the recruitment of invigilators, scribes and readers, participating in interviews as appropriate.
Co-ordinate the deployment of Invigilators, Scribes and Readers, providing them with necessary information / instructions.
Develop and deliver training programme for Invigilators, Scribes and Readers.
Oversee preparation of examination rooms.
Ensure the secure storage of examination papers before and after examinations.
Oversee distribution of examination papers.
Collect, collate and return completed examination papers, course work and any other documentation as laid down in the exam boards’ code of practice.
Arrange all methods of support for students in examinations, including scribes, amanuenses and technical support in association with the Premises Manager and College IT Technician.
Maintain appropriate records for exam boards.
Co-ordinate with Finance regarding external examination fees.
Distribute examination results to students and relevant staff on the major results days in August or as appropriate.
Assist the SL: Student Progress in the collation and analysis of examination results.
Check and distribute exam certificates.
Co-ordinate queries about examination results.
Order exam board material and reports.
Distribute training materials relevant to examinations.
Maintain relevant syllabus information for teaching staff.
Deal with examination post on a day to day basis.
Manage examinations data using appropriate software eg SIMS, Excel spreadsheets.
Monitor examinations budget.
Proactively set up and maintain staff accounts on exam board websites.
Any other duties commensurate with the nature of the post and under the reasonable direction of the Principal.
- To foster their own professional development through visits, meetings, participation in courses and conferences and through other training opportunities as time and the requirements of the job may permit
- To work to the direction of the Principal on any other matters relating directly to this role that may occur from time to time.
